# VaultScribe™: the private AI workspace and agent for law firms

VaultScribe™ is a trademark of VaultScribe Limited Liability Company, which operates this website.

Status: pre-release. Not yet available to buy or download. Now accepting founding design partners. Non-binding letter of intent. Terms discussed on a call. Contact: hello@vaultscribe.app

Your whole AI workspace for legal work. Every conversation, document, deadline and matter in one place, and an agent that works across all of it, by voice or by text. It runs inside your firm, and every outside request is in a log you can read.

Don't take our word for it. Block the network with your own firewall and check. Every outside request is in a log you can read. How to test it: https://vaultscribe.app/security.md

## Your whole workspace

Do everything from one place. Calls and meetings, documents, deadlines, time, drafting and research all live in one private workspace. Every meeting is a page. Every matter has its own space, walled from everyone not on it. Ask a question or give an instruction, and the agent works across all of it.

Home and Inbox. Ask, with citations. Meetings and transcripts. Documents. Templates in your format. People and contacts. Matters with walls. Time and deadlines. (The screen on the site is a design preview with sample data.)

## Voice and connections

The speed of a modern dictation app, without sending a client's words to someone else's servers.

- Dictate anywhere: hold a key in Word, Outlook or any text field and speak. Processed on your own computer, with your legal vocabulary. https://vaultscribe.app/dictation-for-lawyers.md
- Time that gets logged: say a time entry aloud and a draft is ready for your approval. Not posted on its own.
- Your systems, walled: iManage, Clio, Microsoft 365, Google, court dockets and more, plus custom connectors. https://vaultscribe.app/connectors-and-integrations.md

## Not a notetaker

A firm's knowledge sits in its calls, documents, mail, docket and databases. Your people spend the day stitching it together and the evening writing it down. VaultScribe™ does the stitching, and a lawyer reviews the result. It starts with local meeting transcription: your calls and meetings are transcribed on your own computer, with no bot in the call.

| A typical cloud notetaker | VaultScribe™ |
|---|---|
| A summary of one meeting | An agent that works across every conversation, document, deadline and matter |
| A transcript on the vendor's servers | A record on the firm's own machines, walled by policy and by encryption |
| A bot in the call | No bot, no participant, no third party in the room |
| Search across your own meetings | One question answered across recordings, documents, mail and the firm's databases, with citations |
| A note | Time entries, deadlines, letters and PDFs, each reviewed by a lawyer before anything goes out |

## See it

The launch video and the screens on the site are design previews with sample data. They show the intended results, not a shipped product and not a customer's matter.

- **Ask once, across everything.** "What did Acme commit to on ESI, and by when?" One answer drawn from the calls on the matter, with every source numbered and every quote checked against the recording. Quotes come from machine transcripts. They are not certified.
- **One sentence, one click.** Say "draft a follow-up and send it." The email, your firm's stamps and the PDF are prepared on your own computer, shown to you exactly as they will go out, and sent only when you click Send.
- **A log you can show a client.** Every request that leaves the firm's machines is listed: where it went, why, and how much. Anything not on the allowed list is refused and recorded.

## Why privacy is the point

Your clients' data doesn't belong in a VC-backed startup's database. They didn't agree to a cloud database. People tell their lawyer things they have told no one else, because the conversation is privileged. The moment a recording lands in a vendor's cloud, that promise depends on a company's security. No system is immune to attack. What changes is how much sits in one place, and who holds the keys.

- Privilege is a promise. A client expects a conversation to stay between them and you. A recording and transcript on someone else's servers is a place that promise can fail.
- One database, every firm. A cloud service keeps many customers' data together. That makes it worth attacking, and one breach reaches everyone in it.
- You don't hold the keys. When the vendor holds the data and the keys, your confidentiality depends on defenses you can't inspect and staff you have never met.
- The company can change. Vendors get acquired, change their terms or shut down, and the data goes wherever the assets go.

### It happens to law firms with serious security budgets

- Orrick: a law firm breach affected roughly 600,000 people. Orrick, Herrington & Sutcliffe disclosed that attackers accessed a file share holding client files between February 28 and March 13, 2023 (SecurityWeek, January 5, 2024: https://www.securityweek.com/law-firm-orrick-reveals-extensive-data-breach-over-half-a-million-affected/). Reuters reported a tentative class settlement on December 21, 2023.
- "Law firm Jones Day says hackers accessed client files" (Reuters, April 6, 2026: https://www.reuters.com/legal/government/law-firm-jones-day-says-hackers-accessed-client-files-2026-04-06).

Breaches happen to every kind of organization, including law firms. That is why the question is how much of your clients' data sits in one place, and who holds the keys. With VaultScribe™ there is no vendor-run central store to breach, and the keys are yours. Recordings and notes stay on your own machines or your own server, encrypted under keys you hold.

### And courts are testing cloud notetakers

Several lawsuits allege that AI notetakers recorded people without their consent, or collected their voiceprints without it. These are allegations, and VaultScribe™ is not a party to any of them.

- NPR, August 15, 2025: "Class-action suit claims Otter AI secretly records private work conversations" (https://www.npr.org/2025/08/15/g-s1-83087/otter-ai-transcription-class-action-lawsuit)
- National Law Review, January 8, 2026: "Illinois BIPA Suit Targets AI Note-Takers- Practical Lessons for Meeting Transcription". A complaint against Fireflies.AI Corp. alleges it collected voiceprints without the notice and written consent Illinois law requires. (https://natlawreview.com/article/illinois-bipa-suit-targets-ai-note-takers-practical-lessons-meeting-transcription)
- Top Class Actions, March 19, 2026: "Fireflies.AI sued over alleged unlawful data collection from meeting participants". A separate class action alleges the same kind of voiceprint collection. (https://topclassactions.com/lawsuit-settlements/lawsuit-news/fireflies-ai-sued-over-alleged-unlawful-data-collection-from-meeting-participants/)
- U.S. District Court, N.D. California, August 13, 2026, via FindLaw: "In re: Otter.ai Privacy Litigation: Order Granting Motion to Dismiss in Part" (https://caselaw.findlaw.com/court/us-dis-crt-n-d-cal/322025.html)

The August 13, 2026 order is a ruling on a motion to dismiss. It is not a finding of liability. All claims in these cases are allegations that have not been proven, and the companies named have not been found liable.

- **No bot in the room.** VaultScribe™ captures on your own computer. Nothing joins the call and no third party is in the meeting.
- **Nothing leaves unless you allow it.** An administrator decides what may connect. Every outside request is in the egress log.
- **Built to run air-gapped.** No account, no phone-home, and an offline license. It is designed to work with the network off, including in offices with no internet access. Connectors and cloud models are the only parts that need a connection, and both are off by default.
- **Security and architecture.** The threats it defends against, the encryption method by method, and who holds the keys: https://vaultscribe.app/security.md
## Is it for your firm?

It suits you if your lawyers take client calls and meetings and you want them transcribed without a bot in the room; privilege and confidentiality are non-negotiable on your matters; clients ask where their data goes; and you would rather keep recordings on your own machines than in a vendor's cloud.

It is not for you yet if you want an app you can sign up for and use today, you are looking for the cheapest hosted notetaker, or you have no one who can own IT decisions for the firm.

## Founding design partners

Now accepting founding design partners. The founder, Josef, is building VaultScribe™ alone and is looking for a small number of firms to shape it from the start.

1. Talk. We schedule a short call to go over how your firm handles client conversations, notes and time today, and where it costs you the most.
2. Pilot. When VaultScribe™ is ready for your firm, you try it on one real workflow. We agree on the terms together before anything starts.
